A few settings are worth getting right before you send your first real estimate or invoice. None of this takes long, but each one is easier to set once than to fix after you've already sent documents to clients.
Tap More then Settings > Business info and fill in:
Logo
Business name
Phone, email, website
Industry
Address
Tap More then Settings > Invoice & Billing
Default payment terms: Choose On Receipt, Net 15, Net 30, or Net 60. This becomes the default for new invoices, and you can always override it on any individual invoice.
Numbering: Set your prefix (e.g. INV, EST) before you send an estimate or invoice. The number auto-increments from here on, and changing your prefix or number sequence after you've already sent documents to clients creates confusing gaps or duplicate-looking numbers in your records.
Tax & withholding tax: Turn on if you need to apply tax (or withholding tax) to your invoices and estimates by default.
Surcharge: Turn on if you regularly add a surcharge like credit card fees, fuel, mileage, or delivery fees to your totals.
Setting these now means you won't have to re-enter them on every document, they'll just be there by default, with the option to adjust per invoice or estimate whenever you need to.
An invoice with no way to pay isn't much faster than a paper one. Before you send your first real invoice, set up at least one way for clients to pay:
Stripe (Settings > Payment Methods): accept cards, Apple Pay, Google Pay, Cash App Pay, and save cards on file for returning clients. Funds settle directly to your own Stripe account. Approval can take a few minutes to a few days, so it's worth starting this early.
PayPal / Venmo: just add your email address.
Cash, check, or bank transfer: toggle on and add your own instructions.
You can set up more than one and clients will see whichever methods you've enabled when they open an invoice link.
If you already have a list of customers, don't re-type them one at a time. Go to Settings > Import Data and upload a CSV or Excel file.
You can import: email, phone, website, company, address, and notes for each client.
If you find yourself writing the same boilerplate on every estimate or invoice, set it up once instead:
Default notes (Settings > Default Notes): pre-filled on every new invoice and estimate, editable per document whenever you need to change it.
Terms & conditions (Settings > Terms & Signature): shown to clients on the estimate page itself (not included in the PDF). You can also require an e-signature, so the estimate isn't marked accepted until the client signs.
